Information we collect

Information you provide directly

When you register for Listr AI, we collect your name, email address, phone number, brokerage or company name, and billing information. When your leads submit property inquiries through connected sources, we collect their name, phone number, email, and the content of their messages.

Information collected automatically

We collect usage data when you interact with our platform, including log data, IP addresses, browser type, pages visited, and timestamps. We also collect device information and cookies to maintain session state and improve the platform.

Information from third-party platforms

When you connect integrations such as Zillow, Realtor.com, Facebook Lead Ads, or CRM systems, we receive lead data passed through those platforms according to their respective data-sharing policies.

How we use your information

Operating the service

We use your data to provide, operate, and improve Listr AI — including sending AI-generated SMS responses to your leads, managing follow-up sequences, routing hot leads to your agents, and maintaining your account.

Communications

We may send you service-related emails such as account notices, billing receipts, and product updates. You may opt out of marketing communications at any time by clicking the unsubscribe link in any email or contacting us directly.

Compliance and safety

We use data to detect and prevent fraud, comply with legal obligations, enforce our Terms of Service, and respond to lawful requests from government authorities.

How we share your data

We do not sell your data

Nortra LLC does not sell, rent, or trade your personal data or your leads' personal data to any third party for marketing or advertising purposes — ever.

Service providers

We share data with trusted sub-processors required to operate the platform: Twilio (SMS delivery), OpenAI and Anthropic (AI message generation), Stripe (billing), and cloud hosting providers. These parties are bound by data processing agreements and may not use your data for their own purposes.

Meta / Facebook

If you connect Facebook Lead Ads, lead data is received from Meta pursuant to your authorization. Data received from Meta is used solely to operate Listr AI workflows — it is not used to re-target users or shared back to Meta beyond what is required by the platform integration.

Legal requirements

We may disclose your information if required to do so by law, subpoena, or other legal process, or if we believe in good faith that disclosure is necessary to protect rights, property, or safety.

Data retention

Account data

We retain your account data for as long as your account is active. When you cancel your account, we retain data for up to 90 days to allow for account recovery, then delete or anonymize it unless required to retain it by law.

Lead and conversation data

Lead data and AI conversation logs are retained for the duration of your subscription and for 30 days following account closure. You may request earlier deletion by contacting privacy@nortra.io.

Billing records

We retain billing and payment records as required by applicable law, typically 7 years.

Your rights

Access and portability

You may request a copy of the personal data we hold about you at any time by contacting privacy@nortra.io. We will respond within 30 days.

Correction

If any information we hold is inaccurate or incomplete, you may request that we correct it. You can update most account information directly in your Listr AI settings.

Deletion

You may request deletion of your personal data and your leads' personal data at any time. See our Data Deletion page for step-by-step instructions. We will process deletion requests within 30 days.

California residents (CCPA)

California residents have the right to know what personal data is collected, the right to delete personal data, and the right to opt out of the sale of personal data. We do not sell personal data. To exercise any right, contact privacy@nortra.io.

Security

Our commitments

We use industry-standard encryption (TLS in transit, AES-256 at rest), access controls, and audit logging to protect your data. Credentials are never stored in front-end code. Access to production data is limited to authorized personnel on a need-to-know basis.

Breach notification

In the event of a data breach that affects your personal data, we will notify you and relevant authorities as required by applicable law.

Cookies and tracking

What we use

We use essential cookies to keep you logged in and maintain session state. We may use analytics cookies to understand how the platform is used. We do not use advertising or cross-site tracking cookies.

Your choices

You can control cookie settings through your browser. Disabling essential cookies may affect your ability to log in or use certain features.

Changes to this policy

Updates

We may update this Privacy Policy from time to time. When we make material changes, we will notify you by email or by posting a prominent notice in the Listr AI dashboard at least 14 days before the change takes effect. Your continued use of the service after the effective date constitutes acceptance of the updated policy.
